The Widen Collective creates a seamless workflow for the creation, management and distribution of digital media assets throughout digital supply chains.

Widen Digital Asset Management helps organizations to manage, find and distribute photos, logos, audio/video clips, presentations, document collateral and more.

Typical end user functionality and workflows involve the process of searching for, selecting, downloading and/or sharing digital assets. The following outlines the key general user functions of the Widen Media Collective:

Finding Assets – Each Digital Asset Management site can be configured with different search functionalities. Only assets the user has permission to view will be returned in the search results.

Quick Search: Every Collective site has Quick Search, which searches across the filename and metadata on all assets. This search can be restricted so individual Roles can search on specified metadata fields.

Category Search: A category tree can be defined by administrators and assets assigned into categories. Users can navigate through the category tree and select the category of assets to browse. A visual representation of a category can be displayed by using the spotlights. A category can have any asset preview assigned to it so users can quickly see it when they access the application.

Faceted Search: Faceted search, also referred to as refine search, enables filtering by category, file type (such as images, PDF, video, documents) and any other custom metadata field using pre-defined values including: drop-downs, checkboxes, and multi-select palette fields. “Search Within” enables searching of assets within existing search results set.

Advanced Search: The advanced search allows users to build custom searches. All the metadata fields can be searched on along with common dates, such as date added and date updated. For example, users can search for all assets with a specific keyword, and a specific size that was added to the site within the last month. These searches can be saved to easily run again at a later date.

All Assets: The all assets search displays all assets the user has permission to view. From the search results page, users may use the various sort and refine options.

Most Ordered: The most ordered search displays the top 100 most ordered assets based on the number or times an asset has been downloaded or ordered.

Recently Added: The recently added search displays all assets added within the last 30 days, but this specified timeframe may be configured specific for each client site.

Search Results – Each user has the option to choose the display of their search results. A variety of layouts are available that contain different sizes of thumbnail previews and metadata. A variety of sorting options are present including sort by Date Added, Release Date, Ordered Count and any other custom metadata field.

From the search results, users are presented with Quick View functions to view larger previews and metadata. Clicking the filename to the asset details page provides a look at original file info, custom metadata, security info, embedded metadata and asset history.

Retrieving and Sharing Assets – Assets can be downloaded or ordered directly from the system. Each customer site has its own set of conversion formats, and depending on the users permission level, he/she can choose which conversion formats are needed. Image files can be converted into specific file size, dpi, color space, and file format. Video files can be converted into specific bitrate, frame rate, pixel width and height. The Conversion Formats available on a site are determined when the site is setup, but additional Conversion Formats can be added at any time.

Instant Order: On the search results or asset detail page, users can have the option to instantly order an asset. Once the user selects the conversion format, the asset will be converted into that format and available for the user to download it after a few seconds of processing.

Instant Download: Instant download is available from the search results or asset detail page. Commonly needed output formats are selected at site setup time and all assets are pre-converted into these formats and stored as such. When a user selects an instant download option, they can immediately download the pre-converted asset without waiting for the conversion.

Ordering Assets: The order process allows users to easily retrieve or send as many assets at one time in multiple conversions formats to themselves or someone else. One does not need to be a user of the site to receive asset orders. Users can select assets for ordering throughout their use of the site. After all desired assets are selected, the user proceeds through the order process wizard.

Following the order wizard, the user will determine the recipient of the order as oneself or someone else, the delivery method and conversion formats. Orders can be sent by Internet or carrier delivery methods (UPS or FedEx). For Internet Delivery Methods, recipients will receive a branded system email with a link to the Order Pickup page. Next, all the available Conversion Formats are presented and the user can select one or multiple formats. If necessary, the order process can include an End User License Agreement (EULA) presented to the user before they can complete the order or download assets. The user must agree to the terms of the EULA before proceeding with the order or downloading assets. The order pickup page includes options to download assets by file format individually or as a Zip compressed archive of all assets in the order by file type.

Create & Share Collections – The Collections feature allows a user to create a personal collection of assets. Similar to the concept of Lightboxes on stock photo sites, Collections can be shared with others via branded system email to view a preview of the asset(s) before downloading. Registered users can then download assets from the shared collection in the desired format.

Global Collections allow system administrators to make Collections available as a search method and displayed in the search results. Collections are displayed containing the asset(s) for which the particular user may view based on the permissions assigned to his/her user role.
