Permissions for Security - Setting up users and permissions is critical for the security of your company. FileitSuite allows both group and user based permissions. Users can be designated either an Administrator role, Processor role, or User role. These standard roles define the user’s ability to administer the system, and process documents for filing. The ability to create more groups and use those for permissions into Document Groups further enhances security.
Document Groups for Simplicity and Flexibility - Setting up groups is the key to the system’s simplicity. Setting up a new Document Group involves naming the group and choosing the fields for filing and search. Data types (such as†Dateâ€) can also be set. You can also choose to set a mask over a field to make sure users type in a certain format. Each field is definable as “searchable†and whether the field is required. Each group can have specific users selected that can view it.
Administrative Tasks Made Easy - Statistics are what you need, and they are easily retrieved with FileitSuite. Get document view statistics, user statistics (like who’s online and how many documents have been uploaded by a user), how many documents have been filed or how large each storage folder is. FileitSuite has an automatic 600mb limit on folders before a new one starts automatically allowing you to archive folders off into disks. Select additional paths for searching when using offline disks.
Getting Files and Documents into FileitSuite - There are several ways: 1) Use any ftp compliant scanner to scan files directly into the processing folder 2) Manually upload files using the easy upload tool 3) Use the optional Scan Module to scan directly into the system from any TWAIN compliant scanner. Already have an existing collection of files? No problem. You also have the ability to manually add entire folders. FileitSuite converts all documents into Adobe PDF.
The FileitSuite Process Easy as 1-2-3 - The FileitSuite process is simple. 1. Designate personnel to ‘file’ the documents. 2. Using a process tab, based on security, processors with pull up each document and fill in the questions above the document. 3. Once processed the documents are filed away in the permanent location.
Search and Retrieval - The search feature of FileitSuite allows you to look up documents and files based on your search criteria. For example, a document group initially setup with the date as a field allows you to search by date range; you’re only limited by your imagination. Documents can then be reprinted using the native engine.
